1Who we are

ShipBill Desk is a cloud software product for Customs House Agents (CHAs), exporters and importers in India. It is operated by AdvertSneak Technology ("we", "us"). This policy explains what personal and business data we collect when you use our website or the ShipBill Desk platform, why we collect it, and the choices you have.

2Information we collect

We collect only what we need to run your account and keep your filings safe:

• Account details: name, email, mobile number, firm name, GST and IEC / CHA licence numbers you enter.
• Filing data: shipping bill entries, exporter and consignee masters, invoices, packing lists and e-Sanchit documents that you or your staff create or upload.
• Signed documents: files you upload after signing with your Digital Signature Certificate (DSC).
• Payment records: plan, amount, order and payment IDs returned by our payment gateway.
• Usage data: log-in times, IP address, browser type and pages visited, for security and troubleshooting.
• Messages: anything you send through the Contact page or to our support team.

We do not collect your DSC private key or token PIN. Signing happens on your own computer with your token.

3How we use your information

• To create and secure your account and your employees' accounts.
• To store, display, validate and export your shipping bills and related documents.
• To process membership payments, renewals and invoices.
• To reply to support requests and send service messages such as verification and password-reset emails.
• To detect misuse, fix bugs and improve the product.

We do not sell your data and we do not use your filing data for advertising.

4Who we share data with

We share data only with providers that help us run the service, under confidentiality obligations:

• Payment gateway (Razorpay) to process membership payments.
• Email delivery provider to send verification and notification emails.
• Cloud hosting and backup providers that store our databases and uploaded files.

We may disclose information if required by law, a court order or a government authority.

5Data retention

Your filing records stay in your account for as long as your membership is active. After a membership ends we keep your data for 90 days so you can renew or export it, then delete or anonymise it, unless we are required by law to keep certain records (for example, billing records).

6Security

We use encrypted connections (HTTPS), hashed passwords, role-based access for employees, and regular backups. No online service is completely risk free. Please use a strong password, keep your DSC token safe and log out on shared computers.

7Cookies

We use essential cookies to keep you signed in and protect forms from forgery. We may use basic analytics cookies to understand which pages are useful. You can block cookies in your browser, but parts of the platform may stop working.

8Your rights and choices

Under the Digital Personal Data Protection Act, 2023 and other applicable Indian law, you can:

• Ask to see the personal data we hold about you.
• Ask us to correct inaccurate data.
• Ask us to delete your account and personal data, subject to legal retention duties.
• Withdraw consent for optional communications at any time.

9Children

ShipBill Desk is for business use and is not directed at anyone under 18.

10Changes to this policy

If we make a material change we will update the date at the top of this page and, where appropriate, tell you by email or inside the platform before the change takes effect.
